Destination, dates, travellers, flights and trains, where you are staying, and every confirmation number in one place.
Day by day
Seven days split into morning, afternoon and evening, with columns for the place, address or area, booking time and notes.
Budget
Planned and actual spend by category. In the spreadsheet the totals and the difference calculate themselves.
Packing
A starter checklist of documents, tech, clothes and health basics, with space for your own items.
Places to try
The restaurants, cafés and sights you saved, with the TikTok, Instagram or Google Maps link, the area, and whether it is a must-do.
How to use it
Plan your trip in five steps
- 1
Pick your format and open it
Excel, Word and Numbers open the files directly. For Google Sheets, open a blank spreadsheet, go to File > Import > Upload and choose the .xlsx file. For Google Docs, upload the .docx to Google Drive, then open it with Google Docs. Prefer paper? Print the PDF.
- 2
Fill in the trip overview first
Add your dates, flights and stays. In the spreadsheet, type the start date once and the Day by day tab fills in every date for you.
- 3
Dump every place into Places to try
Paste in everything you have saved, with the link to the video or post. Mark the few you would be sad to miss as must-dos.
- 4
Build each day around one area
Look at where your places are and give each day a neighbourhood. Put one must-do in the morning or afternoon and keep the evening loose.
- 5
Add bookings, then take it offline
Note ticket times and confirmation numbers next to each stop. Download or print the finished plan so it works without signal.
Tips
How to make a good itinerary
Plan two or three anchors a day
One big sight, one meal worth crossing town for, maybe one more. Everything else is a bonus. Overpacked days are why itineraries fall apart.
Group by neighbourhood
Travel time is the hidden cost of a bad plan. Keep each day in one or two neighbouring areas and you get hours back.
Leave a buffer
Leave one gap a day for the café you walk past or the rain that changes everything. Your first and last days are shorter than you think.
Keep confirmation numbers offline
Screenshot tickets and bookings or save them to your phone. Airport wifi and roaming never work when you need them.
Check hours before you go
Opening hours, closing days and ticket rules change. Check each place the day before, especially museums and small restaurants.
Need numbers for the Budget tab? Try the trip cost calculator. Want a first draft of the days? The AI itinerary generator writes one you can copy into the template.

Let your saved places plan the trip
Most of the places on a modern itinerary start as a saved TikTok, an Instagram post or a pin in Google Maps. Dream Trip is a free iPhone app built around that. Share the video or link to the app, it finds the restaurant, café or sight and pins it on a map, and the AI planner turns your saves into a day-by-day itinerary you can share with friends.
The template is still the better pick if you want to plan on a laptop, print everything, or you are on Android. Use whichever gets you out the door.
FAQ
Travel itinerary template questions
- Is this travel itinerary template really free?
- Yes. All four files are free to download with no signup and no email. Edit them, print them and share them with the people you are travelling with.
- How do I use the itinerary template in Google Sheets?
- Download the .xlsx file, open a blank Google Sheet, then go to File > Import > Upload and choose the file. The five tabs, formulas and dropdowns come across. You can also upload the file to Google Drive and open it with Google Sheets.
- What should a travel itinerary include?
- The basics you need in a hurry (dates, flights, where you are staying, confirmation numbers, emergency contacts), then a plan for each day with places, addresses and booking times, plus a budget and a packing list. That is exactly how this template is laid out.
- How many things should I plan for each day?
- Two or three anchors a day is plenty for most trips: one main sight, one meal you are excited about, and maybe one more stop. Group them by neighbourhood and leave room for things you find on the way.
- Is there an app that builds the itinerary for me?
- Yes, that is what Dream Trip does. Dream Trip is a free iOS app that turns the places you save from TikTok, Instagram, and Google Maps into trips. Share a video or link to the app, it extracts the restaurant, cafe, or attraction, puts it on a map, and an AI planner turns your saves into a day-by-day itinerary you can share with friends. It runs on iPhone only (iOS 18 or later), so on Android or a laptop, use this template.
